How We Work with Property Managers

Our process for managed properties: direct tenant contact, photo reports, itemised invoices and repair-versus-replace advice you can send owners.

What property managers actually need from a plumber

Property managers do not need another trade who is good on the tools but invisible on the paperwork. A managed property has three parties: the renter who reported the problem, the manager who has legal timeframes to meet, and the owner who has to approve and pay for the work. A plumber who fixes the tap but leaves the manager chasing details for the file has only done two thirds of the job.

We service rentals across Brighton, Brighton East, Hampton, Gardenvale, Elwood and Sandringham, and a good share of our work comes through property managers. This is the process we run on every managed job, so you know what to expect before you send us the first one.

Step one: you send the job, we take it from there

Email or call through the job with the property address, the tenant contact details and whatever the tenant reported, in their words if you have them. Photos from the tenant help but are not required. We will tell you straight away if the description suggests an urgent repair under the Residential Tenancies Act, because that changes the clock you are working to.

From that point we contact the tenant directly to arrange access. You do not need to broker times between us. We call, agree a window that suits them, and confirm the day before. If a tenant is hard to reach we tell you rather than letting the job sit silently, so your file shows the attempts and the timeline stays defensible.

Step two: diagnose first, then a fixed quote

On site we diagnose before we quote. For drains that means a camera down the line so the cause is visible, not guessed. For hot water it means checking the unit, the valves and the anode rather than assuming replacement. For leaks it means finding the actual source, which in older Bayside properties is often a room away from the stain.

Where you have given us a pre-approved limit, we fix within it on the spot and note it on the invoice. Anything above the limit comes back to you as a fixed quote with photos and a plain-English explanation you can forward to the owner without translating. We do not start chargeable work beyond an approval and then present a surprise.

Step three: photo reports you can file and forward

Every managed job gets a short report: what the tenant reported, what we found, what we did, and photos of before and after. Where a camera was used, we include the relevant footage stills. The report is written for an owner to read, not for another plumber, and it goes to you the same day where possible.

This matters for more than convenience. Repair records with timestamps and photos are your evidence that reports were actioned within the required timeframes, and they build a condition history for the property. When the same drain blocks twice in a year, the file already shows why and what the permanent fix would cost to consider.

Repair versus replace, argued honestly

The hardest conversations in managed plumbing are the borderline assets: the fifteen-year-old hot water service, the original cistern with obsolete parts, the earthenware drain that roots keep finding. Owners understandably want the cheap option. Tenants want it fixed permanently. You are in the middle.

Our rule is to give you the honest position in writing and let the owner decide. If a repair is worth doing, we say so and do it. If a repair is money spent on borrowed time, we say that too, with the reasoning: the age of the unit, the condition we observed, what the next failure likely looks like. You get a recommendation you can send on as-is, and we do not inflate the case for replacement because replacement pays better. That is a fast way to lose a property manager, and we would rather keep the relationship than win one job.

Invoicing and the practical details

Invoices are itemised, with labour and materials separated and the property address and your job reference on every line item that needs one. Compliance certificates are issued where the work requires them under Victorian rules. We are set up for the approval workflows most agencies run, and we keep our records so a query months later gets a fast answer.

Common questions

Do you handle urgent repairs for managed properties?

Yes. Tell us what the tenant reported and we will help you classify it against the urgent repair categories under the Residential Tenancies Act and prioritise accordingly. For urgent jobs like burst pipes we prioritise same-day where we can and tell you straight away if we cannot.

Can you work to a pre-approved spending limit?

Yes. Give us your agency limit and we fix within it without a second phone call, noting the work on the invoice. Anything above the limit comes back to you as a fixed quote with photos before we proceed.
